To assist and guide a student to achieve their goals, while providing a supportive, non-competitive environment for creative learning through our arts programs.
Our Services:
Programs in Music, Dance, Theatre, Recording Engineering, Runway, Summer & Spring Music Camps, Music Therapy. Community events/fundraisers/concerts, CW Music & Performing Arts concerts & recitals, Royal Conservatory of Music Examination Preparation.
BECOMING A CW MUSIC & PERFORMING ARTS STUDENT
Registration for private lessons takes place through the School Registration Administration (secretary) only. Registration for group classes may be completed with the Registration Administration, or online.
Students are required to pay a non-refundable annual registration fee as follows and for any ancillary materials:
– $25 per student
– Book Fees vary and must be paid the day-of or the day subsequent to receiving them.
– One-day classes and summer camps have no registration fees*
Tuition and fees must be paid according to one of the payment options shown below, a minimum of one week before a student may begin instruction or program participation.
ACADEMIC & SUMMER TERM
Term rates for our Academic Term (September to June) and lessons extending into the Summer (July & August) are discounted. Drop-in rates vary by teacher. The Academic Term can start at any time and is approximately 39 lessons depending on what day of the week lessons are scheduled.
PAYMENT OPTIONS
Payment for the school year may be made in advance by credit card or pre-authorized debit. When enrolling in a shorter activity, payment must be made in full at least one week before participation begins.
When enrolling in a full-year activity, payment can be made either in full, or in pro-rated monthly installments. The first installment is due when enrolling, and the other payments will be automatically deducted from a credit card/pre-authorized debit on the 1st of every month.
There is no tax on lessons.
Tuition paid by credit card will include a 3.5% fee for tuition paid in full or 3.5% +$0.15 per pro-rated monthly transaction.
Late Payments / NSF / Payment arrangements
$25 – Late Payments | $50 – NSF | Other payment arrangements – $5/mo.
Lessons will cease if an installment is not paid two lessons into the month. Late payments (payments not received on time) will be charged a $25 fee. Instructors and our School are directly dependent upon timely student payments. Your cooperation is appreciated.
If a student has more than one failed credit card payment in a school year, they will lose the option of automatic monthly installments for the remainder of that school year, and will be required to pay a term at a time, at least 14 days in advance.
♪ RECITALS & CONCERTS ♫
Student recitals are held twice yearly in the Academic Term. Repertoire will be collaborated between the teacher and student. Instruction of proper recital etiquette will be taught, instilling confidence in the student’s performance. A recital fee of $40 for each family for each performance (siblings studying will not have to pay more than one fee) will be included in the invoice to help cover performance costs, awards, certificates. This recital fee covers 2 tickets for each family. Additional tickets can be purchased separately.
Rock Bands perform in an annual Concert and other performance activities in our community.
SCHEDULING PRIVATE LESSONS
Students may register and begin private lessons at any time during the year.
Students who enroll before September (the start of the Academic Term) receive a discounted rate and are booked for all weekly lessons in the Term, excluding statutory Holidays (~39 lessons). Students who enroll after September can still take advantage of the discounted rate and will be booked until August (~39 lessons or less).
Adult students can choose to study for the Academic Term (~39 Lessons) or half term (September – December; January – June)
Returning students enroll in a full term of lessons (Academic Term: September – June).
Special schedules, such as bi-weekly lessons, may sometimes be accommodated at the discretion of the teacher. Please contact the Secretary to discuss your scheduling needs. Lesson days and times are not held over from year to year, but returning students are given a priority registration period to secure their teacher and time slot.
ATTENDANCE & MISSED LESSONS
Group classes / Ensembles
There are no make-up classes or refunds for group classes, dance classes, band rehearsals or ensemble rehearsals missed by a participant.
Private Lessons
Please understand that make-up lessons are a courtesy, not an obligation, that is offered at the discretion of the teacher, schedule permitting. Tuition is based on enrollment, not attendance, and reserves a weekly lesson time with a teacher during a term.
Make-up lessons may be granted at the teacher’s discretion and availability at no additional charge provided that the request to reschedule is made at least 48 hours (2 days) via your Student Portal Login from our website. Text message, voice mail & email will NOT suffice for 48 hours notice — please log in and preview the teacher’s ‘open’ time slots for make-up slots via your Student Portal.
Notification of inability to attend a lesson or therapy session is a courtesy to the teacher/therapist but does not excuse payment. There are no credits or refunds for student absences, nor carry-over into the next term. Therefore there is no reduction in tuition for a missed lesson.
Excessive cancellations may jeopardize a student’s privilege to make-up lessons and an instructor’s willingness to reserve a schedule with the student.
Lesson Video vs. Make-up Lessons
A teacher will be able to provide a Lesson Video during the student’s regular lesson time in the event a student cannot attend their regular lesson time and the teacher is unable to accommodate a make-up. The Lesson Video can be accessed at any time by the student via the Student Portal.
Feeling ill the day of your lesson? Request to have a Lesson Online in place of In-Person during a Regularly Scheduled Time A lesson may take place on Zoom, Face Time or any other online platform in replace of a regularly scheduled in-person lesson in the event that a student develops cold or flu symptoms, including but not limited to coughing, sneezing and/or runny nose, but is still well enough to have a lesson remotely. 48-hours notice is NOT required, but a student/guardian should contact a teacher via the Student Portal as soon as possible to arrange. If a student chooses to forego remote lessons in place of a regularly scheduled in-person lesson, and there is insufficient notice (less than 48 hours notice), the teacher is not obliged to make up the lesson and may choose to instead upload a Lesson Video to the Student Portal.
Instructor Absences
Members of the faculty are active performers in the field. From time to time, their performance schedules may necessitate rescheduling a lesson.
If an Instructor is absent, every effort will be made to provide a make-up lesson at a time that is suitable to both the student and the Instructor. If the Instructor is unable to make up a lesson, the student will receive a refund, or credit to be applied to future lessons or classes.
The same policy applied to lessons canceled due to inclement weather.
CHANGING INSTRUCTORS
It is highly recommended that students do not change instructors during the school year, in order to avoid a disjuncture in their progress. While CW Music Ltd. cannot guarantee transfers between instructors, every effort will be made to ensure students are placed appropriately with a teacher that meets their individual needs.
Two weeks written notice or by email to [email protected] is required when transferring to another CW Music Ltd. Instructor.
WITHDRAWALS, CREDITS AND REFUNDS
Group Classes / Ensembles
If a student needs to withdraw from a group class up to two weeks before it has started, then any fees paid will be transferred to a school credit. No credits will be issued if a student withdraws from a group class less than two weeks before the start date.
If a student’s behavior is deemed consistently disruptive to a class, after consultation with the parents, the teacher will have the right to refuse entry to the class.
Minimum enrollment: Group classes and ensembles need to meet a minimum number of enrolled participants to run. Activities may have to be canceled if they fail to meet their minimum number. In this instance, participants will be notified at least one week in advance, and will receive a full refund.
Private Lessons
If a student must withdraw within the first month of a term, 7 days notice must be provided in writing or in email to [email protected]. The client will be refunded the amount less the registration fee, deposit and attended lessons that are then recalculated to reflect the teacher’s drop-in rate rather than the discounted term rate, as the term was not fulfilled. There are no refunds if a student chooses to withdraw 2 months into a term, as the time slot has been reserved for you; however, you may choose to transfer it to another person. If agreeable by the teacher, a student may choose to change teachers & discipline at any time during the term, given fair reason. If provided with written notice at least 2 weeks prior to the commencement of the first session, a client may receive a full refund.
HOLIDAYS AND CLOSURES
The School is closed on all statutory holidays and VSB Winter and Spring holidays, except for Spring Break Music Camp. Please check our online calendar for holidays and other important term dates. Statutory holidays are taken into account in the number of lessons booked at the time of registration. Lessons will not take place on these dates. Private lessons missed due to a School closure, such as a snow day, will be made up if possible.
SUMMER & SPRING BREAK PROGRAM POLICIES
Registration
All registrations will be on a first-come, first-served basis. A student will be registered only when fees for a summer program have been received in full. All summer camp & group programs have minimum enrollment requirements which must be met in order for the program to take place. If you have registered for a program that does not meet its minimum enrollment, you will be notified at least one week ahead of the scheduled date and any fees paid will be fully refunded. All instructors are subject to change.
Payment
Payment may be made by cash, cheque, credit card or pre-authorized debit.
Tuition paid by credit card will include a 3.5% fee for tuition paid in full or 3.5% +$0.15 per pro-rated monthly transaction.
Withdrawals
Capacity at summer & spring break programs is limited. Your tuition payment guarantees your spot. If you need to withdraw after registering you will be refunded your tuition IF another student is able to take your spot in the program. If another students cannot take your spot, then fees paid will be transferred to a CW Music Ltd. credit, for your use in the following term or year. No credits will be issued if a student withdraws from an activity less than two (2) weeks before the start date.
ADDITIONAL POLICIES
Client Non-Circumvention
During the term of this Agreement and for two years thereafter, no Client shall, directly or indirectly, circumvent, initiate, solicit, negotiate, contract or enter into any business transactions with any Client or Teacher introduced by us through the Studio or any Service, without our consent.
Client/Teacher Interactions and Our Limitation of Liability
A. Teachers will immediately inform CW Music Ltd. administration of anything that makes them feel uncomfortable. Any physical or verbal action viewed as inappropriate, harassing, sexual or demeaning must be reported to the Studio administration immediately and both parties must not resume contact or the relationship until it has been fully resolved and only if both parties wish to do so. As a small business we do not make guarantees about the conduct or deportment of any teacher or client. Every teacher working at CW Music Ltd. must complete a criminal background check. Meeting with clients or teachers is at the risk and obligation of the individual client or teacher and the client or teacher assumes 100% of the liability for meeting a teacher or client and any outcome of said meetings and or the service.
B. CW Music & Performing Arts is not liable to you or any other party, whether direct, indirect, general, compensatory, resultant, exemplary, and/or incidental, inclusive of lost profits, resulting from any omissions on our part or related to, CW Music & Performing Arts, any person or party related to the School or the service, this includes without limitation, bodily injury, emotional distress, and any other resultant damages from, communications and meetings with teachers or clients introduced through the system.
Client/Teacher Disputes
You are solely responsible for your interactions with our Teachers and Clients. We reserve the right, but not the obligation, to monitor disputes between you and other Teachers and Clients.
Photographs
Please note that from time to time we may take photos of students, which is solely for the promotion of CW Music & Performing Arts programs. Please inform us if you would not like your child photographed and used in promotional products of CW Music Ltd.
